IPC EMEA SELECT UK ENGAGE TO HANDLE EGM PROXY & REAL-TIME VOTING

A tailored online proxy voting solution, and bespoke real-time meeting and voting platform (with integrated broadcast) were provided.

The Company:
  • The European Independent Purchasing Company Limited, trading as IPC EMEA – are a non-profit making organisation owned by Subway Franchisees.
  • The organisation exists to deliver financial and service benefits to franchisees.
  • Member franchisees sit on the IPC EMEA Board, elected to represent their regional colleagues.

The Project/Challenge:

UK Engage were appointed to handle the proxy voting, and real-time meeting voting for the IPC EMEA EGM. The vote was about a Special Resolution for proposed changes to the Articles of Association. The eligible electorate for the process was two thousand franchisees from around Europe. Translated information in eight languages was provided at the proxy stage to provide accessibility to the process. This was the first EGM for several years, and the project would be run online, allowing for franchisees to vote and/or watch the meeting from anywhere, to allow for maximum engagement.

Solution:

UK Engage provided an accessible proxy voting route for franchisees, via an online system designed so that members could cast their votes electronically in advance of the meeting if they preferred to. The notifications for this were sent via email in the native language of the Regional franchisee and the voting site would also open in their native language, with English as a backup. Voters used their own digital device to cast proxy votes and join/vote during the meeting via their web browser.

On the day of the EGM, UK Engage integrated the live EGM broadcast into a dedicated Real-Time Meeting and Voting solution (UKE Meet) that allowed members to attend and view the meeting, submit questions, and exercise their votes all on the single platform.

The EGM broadcast was designed and supported by our trusted Partner (Notified) who produce visually appealing and engaging Live production feeds including speakers/presenters, slide decks, info videos, supporting content and more, to enhance the meeting delivery and provide the virtual attendees with all the information they could need about the process

Results

IPC EMEA were happy with the member engagement and results. The design of the online proxy voting solution was well received, and the real time voting during the live meeting broadcast went very smoothly. The live meeting broadcast was facilitated and delivered professionally, and it was noted that scheduled rehearsals had helped with ensuring this.
